The quick answer
Start a Spokane records file with the correct city jurisdiction, business registration, personnel information and sales evidence. Spokane’s endorsement process uses its own employee-count rules, which are not simply a payroll headcount. Keep state tax reporting and any activity-specific city taxes separately identified instead of importing another Washington city’s B&O assumptions.
Start with the correct city and business identity
Spokane, Spokane Valley and nearby unincorporated locations are not interchangeable licensing jurisdictions. A regional business may use a Spokane mailing address while its premises or work locations need a closer review. Record the actual addresses and where activities occur before deciding which city account or endorsement applies.
The City of Spokane’s business FAQ describes registration for businesses located in the city, conducting business within it or doing business with the city. Spokane Valley publishes its own licensing guidance. Keep any city confirmation with the business file rather than relying on a map label or a prior owner’s account. An owner should be able to see which legal business holds each registration and which premises it covers.
Make the registration file a record of changes
A useful registration file contains the legal business name, trade names, UBI, city endorsement evidence, account contacts and renewal information. Add a short change history for moves, ownership changes and new activities. Keep submission confirmations rather than only a blank application or a screenshot of a payment form.
When buying or reorganizing a business, confirm how the registrations need to be handled instead of assuming an old certificate follows the business assets. Spokane’s start-up guidance says tax registration cannot simply be transferred to another business. Give the adviser the ownership and entity documents so the review begins with the right taxpayer, not only the brand name over the door.
For a practical control, nominate one person to receive agency notices and one backup. Store the last renewal and the next action date in the same index. This prevents a move, staff departure or changed email address from turning an otherwise straightforward renewal into an urgent reconstruction exercise.
Do not substitute a payroll count for the city’s personnel definition
Washington DOR’s Spokane endorsement page explains that the city’s employee calculation can include owners, partners, officers, LLC members and other people working in or for the business, with specific exceptions. Part-time and temporary workers can count. It also distinguishes nonresident businesses and excludes a sole proprietor and spouse from the employee fee count.
Prepare a review roster with each person’s role, entity relationship, work locations and relevant dates. Keep the payroll employee list alongside it, rather than assuming the two lists must match. Protect personal information and limit access. The point is to give the licensing reviewer the facts required by the city’s definition, not to collect unnecessary personal details.
If the business operates outside Spokane but sends people into the city, retain a practical activity log. Record who performed the work, when, where and for which job or customer. Ask how the current city definition applies to those facts. Avoid declaring every visitor an employee for every tax purpose; licensing personnel rules and employment classification address different questions.
Review special activities instead of copying another city’s tax map
Spokane’s business-tax page identifies city taxes for specific activities, including admissions, gambling and utilities. That page should not be converted into a blanket statement that every business owes the same local tax. Equally, a business should not assume that paying Washington B&O completes any activity-specific city obligation.
When adding an event, a ticketed experience or another new line of business, record the change and ask which licenses, taxes or permits need review. Keep ticket and payment reports available if admission charges are involved. This article does not determine the treatment of an unidentified event, nor does it import Seattle’s city B&O threshold into Spokane.
Organize sales so deposits can be explained
A Spokane service business, shop or food seller may collect money through cards, invoices, online platforms and cash. Keep a channel list showing where the original sale is recorded and how money reaches the bank. Record refunds and settlement charges as identifiable items. The same customer payment should not be counted again when a platform settlement is imported.
For an invoiced business, maintain customer balances and a clear record of advances, outstanding work and disputed amounts for review. For a counter-sale business, retain the daily sales and payment-method reports. Separate factual records from tax conclusions: receiving money, earning revenue under the chosen method and reporting a taxable amount are not automatically the same event.
An efficient weekly check is to look for missing source reports, unmatched deposits and repeated imports. Resolve the largest unexplained items first and attach the explanation. A bank description such as online transfer is a clue, not a complete transaction record. Giving the preparer the source trail reduces the amount of guessing required later.
Use seasonal changes as a prompt to review the records
If the business has busy periods, temporary workers or project-based income, compare the records before and after each change. Check whether the personnel roster, sales channels and job locations still describe the business. A licensing count prepared during a quiet month may need review after a seasonal expansion.
For management, prepare a short monthly picture of cash, upcoming bills, overdue customers and unresolved bookkeeping questions. Explain unusual changes in the margin or spending. Where a business buys equipment for a busy season, keep the purchase and financing evidence together. The operational forecast can show future commitments without pretending that every planned payment is already a posted expense or a tax deduction.
- Review registration contacts and premises after a move.
- Update the personnel facts when roles, locations or staffing change.
- Check sales channels and supporting reports before and after a busy period.
- Save questions about new activities for a specific licensing or tax review.
Make year-end preparation a handoff, not a data dump
Prepare an index with the entity documents, prior returns, registration history, reconciled financial reports and important agency notices. Keep an unresolved-items page with the responsible person and source files. It should be possible to see where the financial reports came from without opening every download.
Ask the preparer to confirm the federal business return, owner-level work, Washington reporting and any specific city work included. Aldro’s current advertised offer is US$399 business tax filing with optional US$20 per month bookkeeping. Confirm eligibility and written coverage; registration reviews, unusual activities and catch-up work should not be assumed from the price alone.
Common questions
Is Spokane Valley the same licensing jurisdiction as Spokane?
No. Keep the actual premises and work locations and check the relevant city’s licensing guidance. A regional or mailing-address label is not enough to choose the registration.
Can I use only my payroll employee count for the Spokane endorsement?
The city endorsement uses its own personnel rules, which can include people outside a conventional payroll list and contain specific exceptions. Prepare the role and location facts for review.
Does this guide say every Spokane business owes a city B&O tax?
No. Identify the actual registration and taxes relevant to the activity. Spokane’s official business-tax page covers specific categories; Washington state B&O is a separate state obligation.
